The Foundation is looking for an Executive Assistant who is known to have outstanding organizational skills, exceptional attention to detail, strong judgement, and is an accomplished multitasker comfortable in a fast-paced environment. We can promise you no two days will be the same. The work is challenging but rewarding.
This position provides the administrative support required to meet the Foundation’s overall goals and objectives and directly supports the Chair, Carol Lee. This is a full-time position.
Responsibilities:
Supports the day to day needs of the Chair including coordinating meeting and event logistics, briefing notes and materials; preparing follow-up deliverables; and maintaining accurate and current data in the relationship management database
Manages a variety of projects and engages appropriate stakeholders and advisors on a timely basis
Presents project information and updates and leads project meetings as required
Composes and/or edits a variety of documents including confidential correspondence, donor relations, agreements and proposals
Attends meetings as requested by Chair, takes meeting minutes, and follows up on action items, commitments, and deliverables
Manages the flow of documents, including obtaining approvals and distributing the information to appropriate stakeholders
Sets up and maintains a filing system, filing and retrieving the Foundation’s documents, records, and reports
Manages internal and external engagements, handling requests and commitments through sorting, filtering and prioritizing requests, while ensuring deadlines are met. Proactively and independently identifies, resolves, and manages calendar conflicts
Tracks expenses and creates expense reports
Completes special projects as directed
Other duties as may be required

Qualifications:
Professional and pleasant when communicating and interacting with all types of personalities and the ability and experience to effectively support boards and senior level management
Proven ability to maintain composure when handling complex issues with sudden changes and competing priorities and short notice changes
Strong organization and administrative skills, capable of working independently with minimal direction
Ability to assess sensitive and/or confidential matters and manage with discretion
Excellent judgment and problem-solving skills
Must be proactive and anticipate needs, and capable of mitigating issues
Proficient with Office products and Google Suite
Exceptional flexibility and adaptability to an ever-changing work environment
Ability to remain calm under pressure
Post-secondary degree
Excellent English language skills (written and oral). Cantonese would be an asset
